PRIVACY NOTICE

FOR THE PURPOSE OF PROCESSING PERSONAL DATA RELATED TO THE REGISTRATION AND PARTICIPATION IN AVION EXPRESS EVENTS

When processing your data UAB “Avion Express” and Avion Express Malta Ltd each acts separately or both act together as joint controllers (hereinafter “We”, “Ours”, “Company”, “Avion Express”).

UAB “Avion Express” and Avion Express Malta Ltd are the part of companies’ group of AVIA SOLUTIONS GROUP (ASG) PLC, legal entity code: 727348, address (as may be changed from time to time): Building 9, Vantage West, Central Park, Dublin, D18 FT0C, Ireland. In certain cases, Company, AVIA SOLUTIONS GROUP (ASG) PLC and its subsidiaries may jointly act as controllers of your personal data. 2. TO WHOM THE PRIVACY NOTICE APPLIES

This Privacy Notice applies for the purpose of the processing personal data related to the online registration and participation in the Company`s events (hereinafter – “the Event”) when you register yourself (or other person) to the Event via registration form and participate in the Event.

The provision of personal data is not a statutory or contractual requirement, or a requirement necessary to enter into a contract. Therefore, you are not obliged to provide the personal data to us. But in the case, you want to participate in the Event, you must provide personal data that is marked as mandatory one in the registration form.

3. WHAT PERSONAL DATA DO WE COLLECT AND FOR WHAT PURPOSE?

· We collect and process your personal data such as: name, surname, working e-mail, Company’s name, date, time and place of Event, – for the purpose of the registering you for the Event and to communicate with you regarding the Event for which you registered.

· We may collect more personal data which might be necessary for registration to the Event. For example: date of birth, personal identification number – to register you to excursions in restricted areas such as airport and etc.

· We collect and process your personal data such as image and voice record – for the purpose to share information about Event on intranet and other social media.

· If you do not wish to be photographed or filmed, please inform the Event organizer before the Event begins.

4. LEGAL BASIS FOR PROCESSING YOUR PERSONAL DATA

Processing of personal data is based on your consent.

By ticking the checkbox(es) at the time of registration, you confirm that you have read and understood the terms and conditions of the processing of personal data set out in this notice and consent to the processing of your personal data by the Company for the purposes set out above.

Please note that you have the right to object to the processing of your personal data for the above purposes. You also have the right to withdraw your consent at any time and to request that we do not process your personal data for the above purposes by emailing us at email: [email protected].

5. HOW LONG DO WE STORE YOUR PERSONAL DATA?

Personal data is only processed for no longer than 30 (thirty) calendar days after the end of the Event or until you withdraw your consent. This retention period does not apply to photos, audio or video recordings of the event.

6. DATA SHARING INSIDE EEA

Your personal data may be disclosed to designated organizing staff within the Company. Additionally, your personal data may be shared with third parties if required by law, regulations, or an official decision by a relevant authority, or with those who assist us in delivering our services. We may share some of your personal data with the following categories of third parties:

· AVIA SOLUTIONS GROUP (ASG) PLC and its subsidiaries.

· Contractors, service providers and other partners on behalf of the Company (if relevant).

· The legal authorities.

7. DATA TRANSFER OUTSIDE EEE/EU

Your personal data is processed in the European Economic Area (EEA). Except in certain cases, we do not intend to transfer, and do not transfer, your personal data to third countries other than the country in which the data was collected. Certain data about your participation in the event may be transferred to entities both inside and outside the EEA (e.g., LinkedIn, Facebook) for event promotion purposes. For such transfers, we have entered into Standard Contractual Clauses approved by the European Commission, or we follow other grounds and conditions set out in the regulation No 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (“GDPR”) or decisions of the European Commission.

8. DO WE APPLY AUTOMATED DECISION-MAKING OR PROFILING?

Your personal data will not be used for automated decision-making including profiling.

9. RIGHTS GUARANTEED TO YOU

We guarantee the implementation of the following rights and the provision of any related information at your request or in case of your query:

· Your right of access – You have the right to ask us for copies of your personal information.

· Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

· Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

· Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

· Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organization, or to you, in certain circumstances.

· Your right to withdraw consent – You have the right to withdraw your consent at any time.

10. HOW TO COMPLAIN

If you disagree with our actions or the response to your request, you can complain to the competent state authority (the list of supervisory authorities by each EU countries: https://edpb.europa.eu/about-edpb/board/members_en ).

In all cases, we recommend that you contact us before making a formal complaint so that we can find the mutual solution.
